Salon virtual receptionist: hire, outsource or AI?

02nd Nov, 2026

For a salon with one to three chairs, the cheapest salon virtual receptionist is an AI that reads your calendar and books the appointment while you keep cutting. A live answering service costs a few hundred dollars a month and still cannot see your book unless you wire it in, and a hired receptionist only pays off once the desk is busy enough to fill their day.

This is for a salon owner whose phone rings mid-colour, goes to voicemail and never rings back. Below: what each option costs, what it can do with a booking, and which fits your salon. Every competitor price was read on the company’s own US pricing page on October 30, 2026.

What does a salon virtual receptionist do?

A virtual receptionist answers your salon’s phone when you cannot: a person or a program picks up, gives the caller your hours and prices, books or moves an appointment, and takes a message for anything else. You can hire someone, pay a live answering service, or turn on an AI receptionist.

The test for all three is the same: can it see your real calendar and put a booking in it? If not, it is a message-taker, and you still make the call back.

What does it cost to hire a salon receptionist?

In the US the median receptionist earned $18.27 an hour in 2025, $38,010 a year, according to the Bureau of Labor Statistics. In the UK the National Living Wage is £12.71 an hour from April 2026, and salon reception is usually paid at or near that floor.

A part-time receptionist on 20 hours a week costs about $1,580 a month at the US median or about £1,100 in the UK, before employer taxes, holiday pay and sick cover. The phone is still unanswered at lunch, after closing and on their day off.

Hiring makes sense when the desk does more than answer the phone: greeting walk-ins, selling retail, washing hair between calls. A four-chair salon with a retail shelf can justify it. A two-chair salon cannot, and a solo stylist never will.

What does a virtual receptionist service cost?

Ruby and Smith.ai are the best-known live services. Both answer with live agents, both bill for the minutes or calls used, and both book appointments only through an integration with your scheduling software.

Ruby’s Starter plan is $250 a month for 50 receptionist minutes, $5.00 a minute, with scheduling included and no setup fee. Smith.ai’s live plans start at $300 a month for 30 calls, $11.50 per extra call, plus $1.50 per appointment booked. Smith.ai also sells an AI receptionist: free for 25 calls a month and $3.00 a call after, or $150 a month on Pro.

A quiet salon taking 60 calls a month pays $395 at Ruby or $300 plus overage at Smith.ai: a chair rent in many towns, to have someone write down what the caller wanted.

AI receptionist for salons: what it costs and what it books

An AI receptionist answers in a natural voice, talks through services and times, and costs a fraction of a live agent. What separates the products is whether the AI can book or only promise a call back.

Goodcall starts at $79 a month for 100 unique callers, roughly 150 calls, and its pricing page does not say how it books. My AI Front Desk is $99 a month, or $79 billed yearly, for 200 voice minutes, and books through integrations and Zapier.

The bbook AI receptionist is an add-on for the Business Premium plan, priced by minutes in bundles of 100, 250 or 1,000 a month with no per-call charge; the 100-minute bundle covers about 50 calls. It is part of the booking app, so it reads each stylist’s live availability and writes the appointment into the calendar you already use, with nothing to integrate. Prices show in your own currency on the AI receptionist page.

Which one should a salon pick?

Solo stylist or two or three chairs. An AI receptionist, and one that is native to your booking app. You are the one who cannot pick up, the call volume is small, and the first live-agent plan costs more than your software, reminders and card reader together.

Four chairs or more with a retail desk. Hire for opening hours, because the desk earns its keep on retail and walk-ins. Forward missed calls, the lunch hour and everything after closing to an AI so evening callers still get booked: about a quarter of bookings made through bbook arrive after 7pm.

Treatments that need a conversation first. Patch tests, colour corrections, extension consultations. A live agent can gather the details, but so can an AI that takes a message and texts it to you, for far less than $5 a minute.

How the bbook AI receptionist works for a salon

You keep your number and forward missed or unanswered calls to a dedicated bbook AI number from your phone settings. The AI knows your services, staff, hours and prices from your bbook profile, offers real open slots, books the client in and texts you a summary; if it cannot answer something it takes a message. The booking then gets the same confirmation and automated text reminders that cut no-shows as every other appointment. It answers in English for now, and calls start once your number is approved, usually within three to five business days.

FAQ

How much does a virtual receptionist cost for a salon?

Live services start at $250 a month for 50 minutes at Ruby or $300 for 30 calls at Smith.ai, and AI receptionists run from free to about $150 a month (US prices, October 30, 2026).

The bbook AI receptionist is an add-on to Business Premium, priced by minutes with no per-call charge.

Can an AI receptionist book salon appointments?

Yes, if it can see your calendar. Standalone AI receptionists book through an integration or Zapier, while the bbook AI receptionist is part of the booking app and writes straight into each stylist’s calendar.

Do I need a new phone number for a virtual receptionist?

No. You keep the number clients know and forward missed or unanswered calls to the service’s number, so it only picks up when you do not.
